Gemini Small Business Tools, October 2026: What UK Owners Should Do

Google's 20 October 2026 Gemini update lets owners run their Business Profile from chat. What UK small businesses can use, what to avoid and what to try first.

On 20 October 2026, Google announced new Gemini tools for small business owners, including a business landing page and connections to Google Business Profile, Google Ads, Google Workspace and seven outside apps including Xero, Shopify and Canva. For a UK owner who does their own marketing, the practical news is simple: you may soon be able to update opening hours, draft review replies and schedule Business Profile posts from a chat window. Whether you should, and how, depends on how your business is set up and what data you are willing to share.

This analysis covers what changed, who can use it in the UK, where the risks sit and a short plan for this week.

What exactly did Google announce on 20 October?

Google added a small business hub to the Gemini app, brand style tools for on-brand images, financial charting from spreadsheets and receipts, and connections to Business Profile, Google Ads, Workspace and seven third-party apps. Google says it is rolling out globally in the coming days.

Google's blog post lists four parts. First, a landing page in Gemini described as a "central hub" for brand, finance and customer insights. Second, brand styles: you upload your website, brand kit, fonts or colours, and Gemini uses them with its Nano Banana image model to make visuals. Third, financial insights that turn spreadsheets, receipts and purchase records into charts and interactive models. Fourth, connected apps: Business Profile, Google Ads and Workspace from Google, plus Adobe, Canva, Dropbox, Shopify, Wix, Zoho and Xero.

Google also claims that "tens of millions of small business owners are using Gemini today." The post does not mention pricing.

What can Gemini actually do to your Business Profile?

Once connected, Gemini can edit hours, contact details, menus, photos and attributes, draft or delete review replies, create and schedule posts, and report impressions, clicks, direction requests and search keywords.

Google's Business Profile help page splits the capabilities into three groups. Profile updates cover business hours, contact info, action links, food menus for food businesses, photos, attributes and location details. Customer engagement covers fetching reviews, summarising feedback, drafting or deleting review replies, and creating, scheduling, publishing or deleting Update, Offer and Event posts. Insights cover impressions, website clicks, direction requests, bookings and search keywords.

That last group matters more than it looks. Most owners never open the Business Profile performance screen. Being able to ask "which search terms brought people to my profile last month" in plain English lowers the barrier to using data you already have.

Can UK businesses use it yet?

Probably, but check your own account. Google's help page says the feature works wherever the Gemini web app is supported, with no UK exclusion listed, and the blog says rollout is global over the coming days.

The help page states the feature is "available wherever the Gemini web app is supported" and only at gemini.google.com, not in other Gemini surfaces. Eligibility is stricter than availability. You must:

  • Be an owner or manager of only one verified Business Profile.
  • Be 18 or over.
  • Sign in with a personal Google Account. The page says work or school accounts are not supported "for now."
  • Keep the Keep Activity setting switched on.

That rules out a good share of UK small businesses. A salon group with two sites, an owner who also manages a partner's profile, or anyone who runs their Google tools through a Google Workspace login will not qualify today.

How is Business Home different, and why does the UK matter here?

Business Home is a separate Google beta that bundles Business Profile, Merchant Center, YouTube and Ads. It is invitation-only and limited to select categories in the US and the UK, so some UK owners will see it before most of the world.

Google's Business Home help page describes it as "a closed beta experience, available only to select business categories in the US and the UK." Features include AI content and photo tools, editing hours and replying to reviews, a combined view that "translates data into prioritised, actionable steps," and AI messaging through RCS for Business.

You cannot apply. Eligible businesses get an email invitation. Requirements include fewer than 10 locations, one type of business per account, and at most one linked YouTube channel, Ads account and Merchant Center account. If an invitation lands, treat it like any beta: useful, but not something to rebuild your routine around until it leaves testing.

What are the privacy trade-offs for a UK business?

The Business Profile connection requires Keep Activity on, which means your chats can be used to train Google's AI and a sample is read by human reviewers. Keep customer personal data out of those chats.

The Gemini Apps Privacy Hub says activity with Keep Activity on is used to "provide, develop, and improve its services (including training generative AI models)." A subset of chats is reviewed by humans, including trained service providers. Reviewed chats are disconnected from your account and kept for up to three years, and deleting your activity does not remove them. The default auto-delete is 18 months, adjustable to 3 or 36 months. Google's own advice is not to enter anything confidential or anything you would not want a reviewer to see.

For a UK owner, that collides with UK GDPR duties. Review threads often include names, treatment details or complaint specifics. Pasting a complaint email with a customer's address into Gemini to "help me reply" is a different act from asking Gemini to draft a reply to a public review that is already on your profile. The UK AI data protection checklist covers the wider rules, but the short version is: public profile content is fine, private customer records are not.

Should you use it, and how do you decide?

Use it if you run one location, manage the profile yourself from a personal account and handle no sensitive data in reviews. Wait if you have several sites, use a work account, or operate in health, legal or finance.

Work through these in order:

  1. Do you manage more than one verified profile? If yes, you are not eligible. Stop here and keep your current workflow.
  2. Is your profile under a Google Workspace email? If yes, you are not eligible. Do not move ownership to a personal account just for this.
  3. Do your reviews contain clinical, legal or financial details? If yes (dentists, physios, solicitors, accountants), use Gemini only for hours, photos and posts. Write review replies yourself.
  4. Do you post on your profile less than once a month? If yes, the scheduling feature is the biggest win. Try it first.
  5. Do you already use Xero, Shopify or Canva? If yes, test one connection, not all of them. Each one widens what lands in your Gemini activity.
  6. Will anyone check AI drafts before they go live? If no, do not use Gemini for review replies at all.

What could this be worth to a small café?

In an illustrative example, a single-site café spending about three hours a week on profile upkeep could save roughly £1,950 of owner time a year by halving that work, before counting any extra customers.

These are illustrative assumptions, not sourced figures. Take a café in Leeds with one site. The owner spends around three hours a week on their profile: one hour replying to reviews, one hour on posts and photos, one hour checking hours and fixing suggested edits.

  • Owner time valued at £25 an hour: 3 hours × £25 × 52 weeks = £3,900 a year.
  • If Gemini drafting and scheduling cuts that by half: about £1,950 of time saved.
  • If a weekly offer post brings in four extra customers spending £12 each: £48 a week, around £2,496 a year in extra revenue.

Now the downside. One badly worded AI reply to a food poisoning complaint, screenshotted and shared locally, could cost far more than £1,950 in lost trade. That is why the time saved should come from drafting, not from removing the human check.

Which tasks should you hand over first?

Start with low-risk, high-effort tasks: performance summaries, post scheduling and photo updates. Leave review replies and anything involving complaints until you trust the drafts.

Rank tasks by how much damage a mistake could do:

  • Low risk: asking for monthly performance summaries and top search keywords, drafting Event and Offer posts, updating holiday hours for Christmas and New Year.
  • Medium risk: editing attributes and action links. Check them on the live profile afterwards, because a wrong booking link silently costs enquiries.
  • Higher risk: review replies, especially negative ones, and deleting anything.

A seasonal note: late October is when UK owners should be setting Christmas and bank holiday hours. That makes a good first test, because the output is easy to check and the cost of getting hours wrong is obvious. What should you do this week?

Check who owns your profile, sign in to Gemini with that account, test one low-risk task, and write a one-line rule about what never goes into an AI chat.
  1. Audit ownership. Open your Business Profile, check who owns it and add a second manager. Note whether it sits on a personal or Workspace account.
  2. Check eligibility. Sign in at gemini.google.com with the owning personal account and look for Business Profile in connected apps.
  3. Run one test. Ask Gemini for last month's impressions, clicks and top search keywords. Compare the numbers against the profile's own performance screen.
  4. Set holiday hours. Use Gemini to draft and apply December hours, then check the live listing on your phone.
  5. Write your data rule. One line, shared with staff: "No customer names, addresses or health, legal or payment details go into Gemini."
  6. Review in two weeks. If posting frequency went up and nothing went wrong, add post scheduling. Only then consider review drafts.

If you would rather have the profile, posts and reviews managed as part of a wider local SEO programme, that is a separate decision. The point of this update is that the basic upkeep just got cheaper to do yourself.

What should you watch for next?

Watch for confirmation of multi-location and work-account support, wider Business Home invitations in the UK, and any change to the Keep Activity requirement.

The help page says work accounts are excluded "for now," which suggests change may come. Business Home's US and UK beta could widen to more categories. And if Google ever allows the Business Profile connection with Keep Activity off, the privacy trade-off above largely disappears. Until then, use it for the dull, checkable jobs and keep human judgement on anything customers will read.

Common Questions

Gemini Small Business Tools, October 2026 — FAQ

Can UK small businesses connect Google Business Profile to Gemini?

Google's Business Profile help page says the connection is available wherever the Gemini web app is supported, and it lists no UK exclusion. The 20 October 2026 Google blog post says the new tools are rolling out globally in the coming days. To check, sign in at gemini.google.com with the personal Google Account that manages your profile and look for Business Profile under connected apps. If you do not see it yet, the rollout may not have reached your account. You also need to manage only one verified profile, be 18 or over and have Keep Activity switched on. That means a multi-site business or an agency login will not qualify yet, even once the feature is live in the UK.

Is it safe to let Gemini reply to Google reviews for my business?

It is safe as a drafting tool if a person approves every reply before it goes live. Google's help page confirms Gemini can draft and delete review replies, and both actions are public and tied to your brand. The risk is less the technology and more tone and accuracy: an AI reply can apologise for something that did not happen, promise a refund you never offered or repeat a customer's personal details back to them. Treat every draft as a first pass. Read it, check any facts against your booking or till records, and remove names or specifics that a stranger reading your profile should not see. Never set up a routine where replies publish without review, especially for complaints.

Does Gemini use my business chats to train its AI?

If Keep Activity is on, yes. Google's Gemini privacy hub says activity is used to provide, develop and improve its services, including training generative AI models, and that a subset of chats is read by human reviewers. Reviewed chats are disconnected from your account and kept for up to three years, even if you delete your activity. The Business Profile connection only works with Keep Activity switched on, so you cannot avoid this and use the feature at the same time. The sensible approach is to keep customer personal data, staff details, contracts and any financial records you would not want a reviewer to see out of those chats entirely.

What is Google Business Home and can I get it in the UK?

Business Home is a separate Google beta that brings Business Profile, Merchant Center, YouTube and Google Ads into one place. Google's help page describes it as a closed beta available only to select business categories in the US and the UK. You cannot sign up. Eligible businesses receive an email invitation. To qualify you need a verified profile with fewer than 10 locations for the same business, only one type of business on the account, and at most one linked YouTube channel, Ads account and Merchant Center account. If an invitation arrives, it is worth testing, but nothing about your local ranking depends on joining.

Will using Gemini improve my Google Maps ranking?

Not directly. Nothing in Google's announcement or help pages says that managing a profile through Gemini changes how it ranks. What can help is the work it makes easier: accurate hours, complete attributes, fresh photos, regular posts and consistent review replies are the basics of local visibility, and many owners skip them because they take time. If Gemini helps you do those tasks every week instead of every few months, your profile will be in better shape. If it tempts you into publishing generic, repetitive posts or careless replies, it will not help and may cost you trust with customers reading the profile.
